Club & Coach Terms

Who these terms are for

These terms apply to any adult representing a club on RugbyDiva — including club managers, coaches, team managers, safeguarding/welfare officers and volunteers. By using management features you confirm you are authorised to act for your club.

Authorisation and verification

• You must be authorised by your club to manage its presence on RugbyDiva.
• RugbyDiva may verify club managers before they can contact other managers, create festivals or fully represent a club.
• You must provide accurate club information and keep it up to date.
• You must not claim to hold qualifications, roles or affiliations you do not have.

Safeguarding responsibilities

• Follow your governing body's safeguarding policy (for example, the RFU Safeguarding Policy) and your club's own policy.
• Ensure coaches and volunteers working with children have appropriate background checks (for example, DBS checks) and training.
• Never use RugbyDiva to arrange private or one-to-one contact with a child outside the rugby context.
• Do not share children's personal details beyond what the platform intends.
• Report safeguarding concerns using our Report a Concern process, and to your club's safeguarding lead and statutory agencies where required.

Managing teams and memberships

• Review join requests fairly and promptly, and keep records of decisions.
• Only use member information for rugby purposes and protect it as set out in our Privacy Policy.
• Treat all players and families with respect; do not use the platform to pressure or exclude anyone.

Festivals and events

• Events you create must be safe, lawful and appropriate for the age groups involved.
• Ensure your event has appropriate safeguarding, first aid and insurance arrangements.
• Provide accurate details about dates, venues, fees and age groups.
• Be transparent about entry fees and refund arrangements.

Photos and videos

Only upload images with appropriate consent, especially of children, and follow our Photo & Video Policy.

Content and conduct

Clubs and coaches represent their club publicly. You must follow our Community Guidelines at all times. Harassment, discrimination, bullying or any conduct that puts children at risk may lead to removal from the platform and a report to the relevant authorities.

Data protection

Clubs are responsible for handling personal data they collect through the platform in line with UK data protection law. See our Privacy Policy.

RugbyDiva's role

RugbyDiva provides tools to help clubs organise and connect. We are not a party to club-to-club or club-to-family arrangements and are not responsible for a club's safeguarding, insurance or conduct. We may restrict or remove clubs or individuals who breach these terms.

Changes to these terms

We may update these terms from time to time. Continued use of management features after changes means you accept the updated terms.
